In the previous article, we covered use case-1. Here, we are talking about use case-2. (If you have missed use case-1, you can check that here.)


Use case-2: When “Restock # items” is disabled


Let’s assume, there is an order with order no- #1002. It includes test product (M) and test product (L). The quantities of these two products ordered are 3 and 2 respectively. For this order, this is how a paid invoice will look like:



Now, if you have to make refunds for this order, then click on the “Refund” tab at the bottom left in the above image. Choose the quantity of products you are making refunds for (In this example, we are making a refund for complete order). Below is how it looks in Shopify when you make refunds:



You can see in the above image the “Restock 5 items” option is unchecked. In this case, Pipemonk will not sync and update product inventory in Xero when you make a refund. After selecting the quantity of products, you are making a refund for, click on “.Refund Tab” (Here, in this case, it is “Refund $56.25).


Once you finish this, you will see a new receipt having complete details of order with refund. This is how it looks like:



After this step, you need to go to your Pipemonk account to run a sync. When you run a sync, Pipemonk will import all the data and details of changes made to your Xero account.


Once the sync completes, you need to go to your Xero account to check whether changes are reflecting right or not.

  • Log-in to your Xero account

  • On Dashboard, go to “Accounts Tab”

  • Click on “Sales” from the drop-down.

  • Click on “see all” option placed next to invoices.

  • A new page listing all the invoices will open. Select the transaction you refunded for. A refund transaction has “CR” tag. (see the below image)



Once you click on the transaction you refunded for. A new page with a “Credit Note” will open. (Note: In Xero, for every refund you make, a Credit Note gets created for that transaction/order). This is how a Credit Note looks like:



You can see in the above image, a cash refund of $56.25 has been made. Now, it will automatically updated the respective Income account but it will not update inventory numbers of these products as “Restock # items” option was disabled.
