Pipemonk deals with Gift Certificates in the following manner:

  • When a Gift Card is Purchased

If the Gift Cards are purchased and are set up as normal products in the Shopify store, then Pipemonk handles it as any other normal product and syncs it accordingly.

  • When Gift Cards are Applied or Used on an order

Presently, Shopify does not provide the Gift Card value details when we fetch an order information from your store. Therefore, we are unaware of the amount that the Gift Card has contributed to the order payment.

Pipemonk syncs the order to QBO or Xero as a normal order (Gift card is NOT applied). This impacts in the invoice/sales receipt amount value to be more than the Gift Card amount compared to the Shopify order amount.

To resolve this issue, you are advised to enter a negative Gift Card value as a separate line item in the sales receipt or the sales invoice of the product that has been synced. This ensures that both the values in your Shopify account and QuickBooks account for the product remains the same.

Let us understand this process with an example:

  • Let us assume that the Shopify order line item is 100$.

  • Gift Card applied on this product is 30$.

  • The net value of this product is now (100$-30$) 70$.

  • However, when you sync this product with Pipemonk, we will sync the product at 100$ instead of 70$.

  • To avoid this, manually add a line item as Gift Card with a value of -30$ (negative line item) in the invoices or sales receipt that has been synced.

  • Now your net value for the product is 70$ in QuickBooks which matches with Shopify.

Note: Unless you adjust this amount manually,
the money through Gift Cards contributes double value to your Shopify accounts.
